Choosing the Right Tools: How I Stay Organized and Inspired

November 17, 2024

Staying organized as a writer is one of the most important lessons I’ve learned over the years. Whether I’m working on a blog post for One11 Media or diving deep into the layers of a novel, the right tools make all the difference. I’ve discovered that using tools designed for specific purposes isn’t just about efficiency—it’s about creating an environment where creativity can thrive.

I’ve spent countless hours fine-tuning my system, and here’s what works best for me.

Why Notion is My Go-To for Blogging

When it comes to managing my blogs, Notion is my go-to. Think of it as an all-in-one workspace where everything you need is just a click away. Here’s why it works so well:

  • Centralized Organization: I can write, track drafts, and organize all my posts in one place. It feels like my creative control room.

  • Content Calendar: Notion makes it easy to plan ahead. I can schedule posts, tag them by topic, and categorize them based on themes or deadlines.

  • Idea Tracking: Every idea that comes to me—whether it’s a catchy title or a list of SEO keywords—finds a home in Notion. It keeps me from losing track of those little sparks of inspiration.

  • Scalability: If my brand grows or I decide to collaborate with a team, Notion can expand to handle it.

For managing multiple blog posts, brainstorming content, or tying my writing into other creative tasks like video production or social media updates, Notion shines.

When Scrivener Steps In for Blogging

Occasionally, I find myself working on longer-form blogs or a series of posts that connect in a bigger way. That’s when Scrivener’s folder system and in-depth writing tools come into play. It’s great for keeping those larger ideas organized and focused.

But for everyday blogging? Notion’s flexibility and ability to integrate into my workflow make it the winner.

How Scrivener Makes Novel Writing Easier

Writing a novel is a completely different beast. It’s not just about putting words on a page; it’s about managing an entire world—characters, timelines, settings, and more. Scrivener is built for this kind of depth, and here’s why I use it:

  • Focused Writing Environment: Scrivener minimizes distractions, helping me dive deep into the heart of the story.

  • Folder System: It’s like having a digital filing cabinet. Every chapter, scene, and bit of research has its own place, making it easy to stay organized.

  • Integrated Notes: I can keep track of character backstories, plot points, and timelines all within the project. No need to switch between apps or files.

  • Split-Screen Functionality: This is a lifesaver. I can write while referencing previous chapters, outlines, or notes—all without breaking my flow.

For a long-term, complex project like a novel, Scrivener feels like the only tool I can truly trust to keep everything in order.

Where Notion Fits Into My Novel Writing

Even though Scrivener is my main tool for writing novels, Notion has its place too. I use it for brainstorming, outlining, or mapping out the structure of my story. Its visual tools help me see the bigger picture before I get into the weeds of writing.

Balancing Creativity and Organization with the Right Tools

At the end of the day, it’s not about choosing one tool over the other—it’s about knowing when to use each one:

  • For Blogs: Notion keeps me organized, efficient, and creative. It ties together all the moving parts of my blog workflow, from ideas to publication.

  • For Novels: Scrivener handles the heavy lifting of writing and organizing large projects. It’s where my story comes to life, while Notion helps me track milestones or plan the bigger picture.

Why the Right Tools Matter

Growing up on Maui taught me that every craft requires the right tools. Whether it was paddling out to catch a wave or learning to carve wood, I learned that the tools you choose can either slow you down or help you find your flow. Writing is no different.

When I use tools like Notion and Scrivener, I’m not just staying organized—I’m creating an environment where I can focus, stay inspired, and do my best work.

If you’re a writer, I encourage you to experiment with these tools and find what works for you. Your creativity deserves a space where it can thrive.
